Understanding Spare Parts: A Guide for Customers

Understanding Spare Parts: A Guide for Customers

Choosing the right aircon spare part is essential for ensuring performance, energy efficiency, and long-term reliability of your air conditioning system.

Whether you are a Business Partner, Technician, or D2C customer, understanding how to correctly identify parts helps prevent incorrect purchases, reduces downtime, and ensures system safety.

At Totaline, we aim to make HVAC parts sourcing simple, accurate, and accessible for everyone.

What Are HVAC Spare Parts?

HVAC spare parts are components used to repair, maintain, or replace parts of heating, ventilation, and air conditioning systems.

Common HVAC parts include:

  • Compressors
  • Fan Motors
  • Capacitors and relays
  • Sensors and thermostats
  • Electrical and control components
  • Filters and consumables

Using genuine and correct parts ensures your system operates at peak performance.

Why Choosing the Right Part Is Important

Using incorrect or incompatible parts can lead to:

  • Reduced system efficiency
  • Higher energy consumption
  • Frequent breakdowns
  • Potential damage to the unit
  • Shortened equipment lifespan

That’s why proper part identification is critical before ordering.

How to Find the Correct HVAC Spare Part

1.  Use the Model Code or FG Code

The fastest way to identify the correct part is by using your unit’s Model Code or FG (Finished Goods) Code. This ensures that you are viewing parts that are specifically designed for your air conditioning unit.

2. Understand the SBOM (Service Bill of Materials)

The SBOM (Service Bill of Materials) is a complete list of serviceable parts for a specific unit model.

 It helps you:

  • Identify the correct 10-digit material code (SKU)
  • Confirm part compatibility
  • View approved replacements or alternatives
  • Ensure correct selection based on model and serial applicability

You can access the SBOM through the Totaline website by searching your unit model and opening the product details page.

3. Use the Parts Library (For Business Partners)

Business Partners can access the Parts Library, which includes a “where-used” feature. This allows users to:

  • Check which FG models use a specific part
  • Validate compatibility across multiple units
  • Support inventory planning and project requirements

What If the Part Is Not Available?

If the item is not available or out of stock:

  1. Click “Notify Me When Available” on the product page
  2. Check for Alternative Parts listed in the product details
  3. Contact support for further assistance

This ensures you stay updated on restocking and available replacement options.

Understanding Phase-Out and Obsolete Parts

Some parts may be marked as:

  • Phase-out (still available in limited stock)
  • Obsolete (no longer actively produced)

Where applicable, the system will display approved alternative replacement parts for continued support.
